Position Summary:
Work with the Director of Finance, and FARA team to perform and manage day-to-day accounting operations and ensure the accuracy of financial records for the organization. The Accounting Specialist will be responsible for general payables and vendor activities including payroll processing, revenue accounting including invoicing and donor/partner correspondence, business expense credit card and reimbursement processing, and research grant payment processes. This position will play a key role in maintaining fiscal stewardship and supporting the financial health of the organization through regular accounting activities and on special project assignments.
The successful candidate will have professional administrative and accounting experience, be detail-oriented, have excellent written and verbal communication skills, and be able to work both independently and collaboratively with a team. The candidate will be given the opportunity to show initiative, acquire new skills, and grow professionally.
Professional Experience Requirements:
- Bachelor’s degree in business with experience in accounting and/or finance.
- 2-5 years of experience in accounting or finance, preferably in a nonprofit setting.
- Proficient in a variety of financial (Quickbooks, Microsoft Excel, Bill) and office suite software programs (Microsoft Teams and Microsoft Office – Word, PowerPoint, Outlook, Publisher and Adobe Acrobat).

Essential Responsibilities:
Manage General Payables including Payroll Processing
- Administer, audit, process, and record all payables and expenses.
- Checks
- ACH
- Wires
- Work with third party payroll processor on monthly payroll cycle.
- Follow up on all outstanding payments and reconcile credit card accounts.
- Secure supporting documentation
- Manage petty cash accounting and documentation.
Vendor Data Management
- Maintain and update all vendor data
- Act as vendor point of contact for the organization.
- Manage 1099 reporting compliance
Revenue Accounting
- Consolidate online giving data and record revenue
- Scan checks and process and record deposits
- Invoice donors and partners, manage receivables and reconcile revenue with donor management system
Credit Card and Reimbursement Accounting
- Record and audit transactions and verify receipts in compliance with policies and procedures
- Manage data transfer and monitor budgets in Bill.com system
- Upload data to QuickBooks Online
- Reconcile credit card accounts
Grants Payable
- Milestone audits and payment processing
- Grant financial data documentation administration
Compliance and Reporting
- Assist Director of Finance with sales tax filings, annual audit and periodic financial reporting tasks for Organization management and committees
- Collaborate with team on ad hoc reporting and analyses
Ensure accurate, timely and stakeholder friendly communications with all stakeholders. Follow established organizational policies and procedures and compile information and reports as required.
Demonstrate ability to learn and adapt to changing procedures, methods or processes.
Use a team approach when working with volunteers and the FARA team.
Provide first-rate customer service as front-line stakeholder contact.
Ensure that all FARA stakeholders are communicated to in a clear, consistent, and timely manner utilizing strong written and verbal skills to address stakeholder needs.
Attention to detail demonstrating accuracy and efficiency in word processing, data entry, and business correspondence.
Coordinate work activity efficiently, and check that work has been carried out to specification.
